Scolmore International Ltd are seeking an experienced Export Coordinator to bolster our Export team. The Export Coordinator will coordinate the effective movement of goods globally, to fulfil the needs of internal and external customer orders, in addition to adhering to customs and shipping requirements. The Export Coordinator will also provide support to our Export Sales Managers and Middle East office as and when required.


Main Duties

Include, but are not limited to:

Be responsible for the co-ordination of exporting customer orders worldwide, including quoting, booking freight and re-charging freight to the customer where necessary.

Preparing international shipping documents, including Commercial Invoices, Packing Lists, CoO, CoC, EUR1 and ensuring the HS Codes are correct.

Processing customer orders and credits using Sage and other internal company programmes.

Monitor customer back orders, forward orders and call off orders. Run daily order status reports and to monitor customer activity to ensure orders are completed, despatched and invoiced. Report back to Senior Co-ordinator

Ensure all orders are promptly put through to the warehouse and despatched ASAP, with all the correct paperwork to clear customs. Create customer order sheets, box or pallet labels.

Maintain and log all shipments in the Export Shipping Summary and follow up with customers, freight forwarders and Senior Export Coordinator on any issues.

Obtain and file all export documentation from point of shipping, proof of export e.g. C88 S/A Waybills with filing to be completed within 10 days of despatch.

Manage all calls and queries from internal staff, customers and Middle East office ensuring all calls/emails and quotes are dealt with promptly and efficiently in keeping with the high customer service standards our customers have come to expect.

Process inter-company orders using Sage or other internal company programs.

Responding to all queries in relation to part numbers and technical information (supported by technical department).

Liaise with the Technical Team and assist with preparing power lead drawings for quotations.

Liaise with other departments, including the Warehouse team, Data team, Finance team, Technical team and so on, as and when required, escalating any issues to the Senior Manager.

Support Scolmore Middle East with their processes and training and escalate any issues where required.

Support and assist the Scolmore Middle East General Manager and all Sales Managers where required, including preparing quotes, consolidating and arranging goods movements to the shows/exhibitions and processing sample orders.

Monitor and report on all export stock, co-ordinate stock movements between warehouses and group companies, including arranging reworks and bespoke orders with the Bespoke department and Sangamo manufacturing plant.

Assist Middle East team with stock management between UK and Middle East Warehouses and process any stock adjustments when requested
Process Scolmore Middle East purchase orders when ordering direct from the factory, when requested.

Process Scolmore Middle East Stock GRN’s and posting of monthly stock invoices, liaising with accounts where necessary.

Keep up to date with customs requirements – completing refresher training as and when required.

Completing other tasks as and when assigned, to support the export team and the wider customer service team.

Ability to work in a fast-paced environment and to work under pressure. Also be able to adapt to change

Excellent computer skills and ability to use the full Microsoft suite of applications, particularly Excel

Previous experience with Sage, SAP or Similar CRM database
